Mark leave for a member

Managers and HR can record time off on a team member's behalf, without waiting for a request.

Alongside the usual self-service flow (where a member requests leave and a manager approves it), anyone with the Manage team permission can record leave on behalf of a team member. Use this to log time off that already happened or was agreed offline, without waiting for the member to raise a request.

Mark leave

  1. Open HR (or Settings → Leave).
  2. Click Mark leave.
  3. Choose the team member, the leave type, and the from / to dates.
  4. Add an optional note explaining why it's being recorded, then Mark leave.

The leave is auto-approved — it skips the request/approve cycle because you're recording a decision that's already been made. Working days are counted automatically, and weekends and holidays are skipped.

To record an unpaid absence (loss of pay), pick a leave type whose policy is marked unpaid. That day then reduces the member's pay when you run payroll.

See and undo team leave

The Team leave list on the HR page shows recent leave across the whole organisation, including anything marked manually. If you record the wrong entry, use Remove on that row to cancel it.

Marking leave for someone doesn't stop them requesting their own — Kuvi warns you if the dates overlap an existing request so a day is never double-counted.
