Send an Invoice by Email
Review a draft invoice, then email it to one or more recipients with the PDF attached, and mark it Sent in one step.
Once you have created an invoice, Kuvi lets you check it first and then email a copy straight to your client, with the invoice PDF attached. Sending is also the moment the invoice moves from Draft to Sent, so you review it before it goes out.
Review the draft first
A new invoice starts as a Draft so you can check it before anything leaves your account.
- Open Accounting and find the draft in the invoices list.
- Click Preview to open the invoice exactly as your client will see it.
- Read through the numbers, tax split and client details. If something is wrong, click Edit and fix it while it is still a draft.
You can also download or print the PDF from the preview if you want a copy for your own records before sending.
Send it to your client
When the draft looks right:
- Click Send on the invoice row.
- Enter one or more recipient email addresses. Press Enter or comma after each one. You can add up to five recipients, and the client's saved email is filled in for you if you have one.
- Add a short message if you like, or leave it blank to use the default cover note.
- Click Send invoice.
Kuvi emails each recipient a short, branded cover note with the invoice PDF attached, and marks the invoice as Sent.
Sending finalises the invoice. After it is Sent you can no longer edit it, but you can still mark it Paid, or cancel it if it was raised by mistake.
If the email does not go out
If email delivery is not set up for your workspace yet, Kuvi still marks the invoice as Sent and tells you the copy could not be delivered. You can download the PDF from the preview and send it yourself in the meantime.
What happens next
- Mark the invoice Paid when the money arrives, so it counts towards your collected revenue.
- The invoice also feeds the Revenue by Client report once it is linked to a client.
