Link an Invoice to a Client
Make sure each invoice's revenue rolls up under the right client on the Revenue by Client report, even when the billing name differs.
The Revenue by Client report groups your billed and collected revenue under each client. For that to work, every invoice needs to be attached to a client on your Clients list. Kuvi does this for you most of the time, and gives you a quick way to fix the rest.
How Kuvi links invoices automatically
When you create or edit an invoice, Kuvi looks at the client name you typed and matches it to a client on your Clients list, ignoring case and spacing. If it finds a match, the invoice is linked to that client and its revenue rolls up under them on the report.
So in most cases you do not have to do anything. Bill "Acme Labs" and, as long as "Acme Labs" is on your Clients list, its revenue lands under Acme Labs.
When you need to link one by hand
Sometimes the name on the invoice does not match the client on record. For example, you billed Shri Sai Pharma but that work should count under your Shri Sai Hospitals client. Because the names are different, Kuvi cannot match them on its own, so you link them yourself.
- Open Accounting and find the invoice in the list.
- Click the link icon on that invoice's row. The icon is amber whenever an invoice is not yet linked to a client, so it is easy to spot.
- Pick the client you want this invoice to count under.
- Click Link client.
The invoice now rolls up under that client on the Revenue by Client report.
Linking is for reporting only. It never changes the client name or GSTIN printed on the invoice, and it works whether the invoice is a draft, sent or already paid. You can change or remove the link at any time.
The "Unlinked invoices" row
If some revenue cannot be matched to any client, the report shows it in an Unlinked invoices (no matching client) row rather than hiding it, so your totals always reconcile with your Accounting figures. That row is your cue to either link those invoices to a client or add the missing client to your Clients list.
Tip
Scan the invoices list for amber link icons now and then. Each one is an invoice whose revenue is not yet counted under a client, so linking it keeps your Revenue by Client report complete.
